POS Setting - Manage Access Card

Access Card lets an employee sign in to the POS by tapping an NFC card that is bound to their employee profile, instead of typing a PIN. This article shows you how to bind, replace, and revoke an employee's card, how employees sign in with a card, and where to check card activity.

Bind a Card to an Employee

On the POS, navigate to Settings > Manage Access Card.

Select the employee you want to give a card to, then tap [+ Add].

In the [NFC Card Registration] pop-up, hold the card against the NFC reader on your device.

When Card Registered Successfully appears, the card is bound to that employee.

Note: If the device shows This device doesn't support NFC, use a device with NFC or connect an NFC module first. If the card is already bound to another employee, the POS will tell you so — use a different card, or revoke it from the other employee first.

Replace a Card

If an employee loses their card or the card stops working, select the employee in Manage Access Card and tap [Replace], then hold the new card against the reader.

Once the new card is registered, the old card stops working immediately.

Revoke a Card

Select the employee in Manage Access Card, tap [Revoke], then tap [Confirm Revoke]. The card can no longer be used to sign in.

Note: If the employee is set to sign in with a card only, the POS will not let you revoke the card. Turn Allow Code Access back on for that employee in the Store Portal first, then revoke the card.

Sign In with an Access Card

On Counter POS, the PIN Pad shows [Access Card Reader] once your store has at least one card bound. Hold the card against the reader to sign in.

On Mobile POS, tap [Access Card Reader] on the PIN Pad, then tap [NFC Card Reader] and hold the card against the back of the device.

Let an Employee Sign In with a Card Only

Every employee with a PIN can sign in with their PIN by default. If you want an employee to sign in with their card only, turn their PIN access off in the Store Portal.

Navigate to Management > Employee, open the employee with [Edit], and set Allow Code Access to No.

Note: Allow Code Access can only be set to No for an employee who already has a card bound. If that card is later revoked, the setting goes back to Yes automatically so the employee is never locked out.

Check the Access Card Log

Tap [Access Card Log] in the top-right corner of Manage Access Card to see when cards were added, replaced, revoked, and used.

The log opens on the current business day with the newest record first, and you can switch to another date with the date filter. If there is no activity for the date you picked, the page shows No Data.

When Your POS Is Offline

  • Employees can still sign in by tapping a card that was already bound. Their card usage uploads once the POS is back online.

  • You cannot add, replace, or revoke a card until the POS is back online.

  • An employee set to sign in with a card only still cannot use a PIN while offline, so keep a card-enabled manager available.
