In this article, you will learn how to configure tip pool based on job title, tips, hours worked, and category sales.

In this article, you will learn how to configure tip pool. The tip pool function offers the capability to define contributions and distributions based on employees' job titles and their corresponding tips received, hours worked, or category sales.

Note: Once you enable this feature, all of your employees will be required to clock in/out on Peblla POS for them to participate in the tip pool.

How to Enable Tip Pool

To enable Tip Pool, go to Store Portal - [Management] - [Tip Pooling].

(Note: You will not be able to turn off active tip pools.)

How to Create Tip Pool

Click [+ Create a Tip Pool].

Enter a [Tip Pool Name], make sure you have a unique name for each tip pool.

Define Tip Contribution

Online Ordering Pool:

This pool includes all tips coming from your brand app, website, and kiosks. Select the percentage of tip you want to contribute to this tip pool.

Custom Pool:

First define the job that contributes to the pool.

For setting up "jobs", please refer to this article.

You can select multiple jobs and multiple sources of contribution. However, the combined contribution of a certain category cannot exceed 100%.

Cash Tip

Total cash tips collected by everyone with the selected job title

Non-Cash Tip

Total credit card tips collected by everyone with the selected job title

Auto-Gratuity

Tips are collected when party size exceeds a certain amount

Category Sales

The net sale of a certain category is responsible for, e.g. alcohol.

Note: The tip pool numbers are counted when the order is closed, which happens once servers have manually entered tips and finalized the order.

Define Tip Allocation

Allocate by Hours Worked:

Based on hours clocked in on the POS. Rounded to one digit after a full hour.

Allocate by Percentage:

Each job can only be added once. The sum total percentage distributed cannot exceed 100%. On the other hand, if the same total percentage does not add up to 100%, then the rest of the money will go to unallocated funds.

Tip pool can be saved first without being applied. If you wish to implement the policy as soon as saving it. Please select [Save & Apply] to save changes.

Understand Tip Pool Columns

In this section, we will go over the key columns displayed on the Tip Pools management page. Each column represents an important aspect of the tip pooling system. Here's a breakdown of what each column means:

Column Name

Description

Name

The name of the tip pool, which helps you identify and manage multiple pools.

Tip Pooling Type

Specifies the type of pool, such as "Custom Pool" or "Online Ordering Pool," indicating the source or purpose of the tip pool.

Contributors:

Lists the contributors to the pool, such as sales channels or staff roles that contribute tips.

Receivers

Indicates who will receive tips from the pool, typically defined as staff roles.

Allocation Rules

Displays the rule used to distribute tips, such as "Allocate by Hours Worked."

Available Time

Shows when the tip pool is active, either "All Time" or a specific schedule.

Last Settlement Time

Records the last time the tips in the pool were settled or distributed.

Operation Time

Logs the time of the last operation or update performed on the pool.

Activation Status

Indicates whether the pool is currently active or inactive, with options to toggle its status.

Understand Action Icons

In the Actions column, you’ll find a set of icons that allow you to manage and modify your tip pools. Each icon has a specific purpose, making it easy to take quick actions on a tip pool's status or details. Here's what each icon represents:

Blue Icon

Edit: Click this icon to edit the details of the tip pool.

Red Icon

Delete: Use this icon to permanently delete the tip pool.

Green Icon

Activate Tip Pool: Activate the tip pool to make it live.

Yellow Icon

Close Tip Pool: Temporarily close or deactivate the tip pool.

Understand the Summary Page

The Summary Page provides an overview of the current status of your tip pools, giving you key insights to manage your operations effectively. Here’s what each section on this page represents:

Field

Description

Tip Pool Name

Displays the name of the tip pool for easy identification.

Status

Indicates whether the tip pool is Active or Inactive.

Last Settlement Time

Shows the last time tips were settled for this pool. If no settlements have been made, it will display "---".

Tip Pool Balance

Displays the total amount of tips currently available in the pool.

Employees in Pool

Indicates the number of employees assigned to this tip pool.

Unallocated Amount

Shows the amount of tips that are yet to be allocated to employees.

Settle Button

Clicking this button allows you to settle the unallocated tips for the specified pool.

Example: Adding a New Tip Pool

Step 1: Enable Tip Pooling

Navigate to [Store Portal] - [Management] - [Tip Pooling].

Step 2: Create a New Tip Pool

Click the [+ Create a Tip Pool] button.

Step 3: Enter a Tip Pool Name

Provide a unique name for the tip pool, ensuring clarity and ease of management when handling multiple pools.

Step 4: Define Tip Contribution

Choose the type of contribution for the tip pool:

  • Online Ordering Pool: Includes tips from online channels like your brand app, website, and kiosks; Specify the percentage of tips to contribute to this pool.

  • Custom Pool: Define the jobs contributing to the pool; Select multiple jobs or sources of contribution (e.g., cash tips, credit card tips, auto-gratuity, or sales categories like alcohol); Ensure that contributions do not exceed 100% for any category.

Note: Tip contributions are calculated when the order is closed, after servers finalize and enter tips.

Step 5: Define Tip Allocation

Decide how tips will be distributed:

  • Allocate by Hours Worked: Distribution is based on clocked-in hours, rounded to one decimal point after a full hour.

  • Allocate by Percentage: Assign percentages to jobs, ensuring the total does not exceed 100%. If the percentage is below 100%, the remaining funds will go to unallocated funds.

Step 6: Save the Tip Pool

Save the tip pool by clicking [Save] if you do not wish to apply it immediately.

Select [Save & Apply] to implement the policy as soon as it is saved.
