When a table type asks for a deposit, the money the guest pays stays with the reservation until it is either applied to their check or refunded. This article explains where to see that money and how to give it back.
📖 Tutorial
Open the reservation from the reservation panel or the timeline, then scroll the detail panel down to Deposit.
Deposit Paid | What the guest has paid for this reservation in total. |
Redeemed Amount | How much of it has already been applied to their check. |
Refunded Amount | How much of it you have already refunded. |
Refundable Amount | What is left, and the most you can refund now. |
Refund a deposit
Tap [Refund Deposit] and enter the refund either as a percentage or as a fixed amount. It cannot be more than the Refundable Amount — if it is, you will see "Refund amount cannot exceeds the available amount."
Tap [Process refund] to finish; this needs manager PIN verification. The guest is emailed a refund receipt. When there is nothing left to refund, the button is hidden.
Refund while cancelling
You do not have to refund before you cancel. Tap [Cancel reservation] and choose No Refund, Partial Refund or Full Refund as part of the cancellation. A refund there also needs manager PIN verification.
Applying a deposit to the check
A deposit is applied to the guest’s check on your POS, not on the tablet, and only when the table was opened from the reservation. Once it is applied, the Redeemed Amount on this panel goes up and the Refundable Amount goes down.
Two things to watch for:
Money left over | If the deposit is larger than the check, your POS reminds you: "Unused deposit remains. Refund the remaining balance in Peblla Table." Come back to this panel and refund it. |
Refunding a check | Refunding on the POS only refunds what the guest paid at the table. The deposit has to be refunded here. |
