Report Center - Cash Drawer History

The Cash Drawer History report helps you review each cash drawer session and reconcile expected vs. actual cash by device/drawer. Use this report to spot cash overages/shortages, verify drawer activity, and audit cash handling.

Look across the top columns for a drawer/device session. Each session includes key header fields:

  • Status

    • Closed = drawer session is completed

    • (If your store uses live drawers, you may also see Open/Active depending on workflow)

  • Time Opened/Closed

    • The timestamp for when the drawer session started and ended.

  • Closed By

    • The employee who closed the drawer (if tracked/configured).

Use these sections to understand how cash moved during the session:

Starting Cash

  • The opening cash amount put into the drawer at the start of the session.

Cash Payments

  • Cash in Hand

    • The running cash balance based on recorded cash activity.

  • Total Cash Payments

    • Total sales paid with cash.

Cash In / Cash Out tracking

These lines help you audit non-sale cash movement:

  • Cash In: cash added to the drawer (ex: adding change)

  • Cash Collected: cash pulled/collected from the drawer (commonly used for end-of-shift collection)

  • Cash Out: cash removed for any reason (varies by workflow)

  • Pay Out: cash paid out of the drawer (ex: vendor, petty cash)

  • Tip Out: cash tips paid out (if your store uses tip-out tracking)

  • Cash Drop: money dropped into a safe/drop box during the shift

Deposit Reconciliation (Expected vs Actual)

Some stores also track cash deposits from each drawer session (for example, the amount that should be deposited to the bank at end of day). This section helps you compare what the system expects to be deposited vs what was actually recorded as deposited.

Expected Deposit

  • The amount the system expects should be deposited for this drawer session.

  • Typically based on your recorded cash activity and closeout rules (for example, cash collected/drops, or the amount remaining after keeping a change bank).

Actual Deposit

  • The deposit amount your staff entered/recorded.

  • If no deposit was entered, this will show N/A.

Deposit Overage/Shortage

  • The difference between Actual Deposit and Expected Deposit.

    • Positive = deposit overage

    • Negative = deposit shortage

    • N/A = no deposit value was entered, so the system cannot calculate a variance
